1. Company and scope

These Booking Terms and Conditions apply to tours and activities operated by:

All tours and activities are currently operated directly by Northwild Oy. These Terms apply to bookings made directly with Northwild Oy through its website or Bokun booking system, by email, or by telephone. Customers must read and accept these terms before completing a booking.


For bookings made through a third-party reseller, such as Viator or GetYourGuide, the reseller’s terms may govern matters including booking, payment, amendment, cancellation and refunds. Northwild Oy’s activity, participation and safety requirements also apply where communicated to the customer. If these terms conflict with the reseller’s applicable terms, the reseller’s terms take priority for the relevant reseller booking.


2. Your tours

Northwild Oy provides shared and private Arctic day activities, including Northern Lights tours, snowmobile tours, mindfulness experiences, snowshoeing and ice fishing.


All activities last less than 24 hours and do not include accommodation, flights or separately sold transportation. Some activities may include pickup, refreshments or other items described on the relevant activity page.


Group sizes vary by activity, with a maximum of either six or eight participants. The applicable group size and other activity-specific details are stated in the activity description.


Activities are offered in English. German, Estonian and Russian may also be available upon request, subject to guide availability and written confirmation by Northwild Oy.


3. Booking and payment

All prices are stated in euros (EUR) and include applicable VAT and all mandatory charges.


Full payment is required at the time of booking. Online payments may be made using the credit cards, debit cards and digital wallets displayed during checkout. Payments are processed securely by a third-party payment provider. Northwild Oy does not store customers’ complete payment-card details.

A booking is confirmed only after full payment has been received and the customer has received a booking confirmation and ticket. Standard online bookings are confirmed automatically following successful payment. Customers must check the confirmation and promptly report any incorrect information to Northwild Oy.


Northwild Oy may reject or cancel a booking for legitimate operational, safety, eligibility, payment or technical reasons. If Northwild Oy cancels a confirmed booking for a reason not caused by the customer, the customer may choose an alternative available date or a full refund.


Gift cards and promotional codes may be used in accordance with the conditions stated when they are issued. They must be entered or presented when booking and cannot be applied retrospectively.


4. Customer Cancellation, Rescheduling and Refunds

Customers may cancel a booking under the following conditions:

  • More than 14 days before departure: full refund.
  • More than 7 days but no more than 14 days before departure: 50% refund.
  • 7 days or less before departure: no refund.
  • No-show or late arrival: no refund.


Cancellation deadlines are calculated from the scheduled departure time in Finnish local time. Cancellations must be submitted in writing by email to info@northwild.eu or by text or WhatsApp message to +358 41 483 7556. A cancellation becomes effective when received by Northwild Oy. Telephone calls alone are not accepted as proof of cancellation.


Customers may request one change to an alternative available date at least seven days before the original departure. Rescheduling is subject to availability and confirmation by Northwild Oy. Any price difference must be paid by the customer. Cancellation rights for a rescheduled booking remain calculated from the original departure date.


Customer illness, injury, travel disruption or other personal circumstances do not create a right to an additional refund or exception. Customers are strongly advised to obtain suitable travel insurance covering activity cancellation and related travel risks. A medical certificate does not automatically entitle the customer to a refund.


Approved refunds are returned to the original payment method without deduction of Northwild Oy’s booking or payment-processing fees. Northwild Oy will initiate the refund without undue delay. The time required for the funds to appear may depend on the customer’s bank or payment provider. If Northwild Oy cancels an activity because of unsafe conditions or unforeseen operational circumstances, the customer may choose an alternative available date or a full refund.


Northern Lights are a natural phenomenon and sightings cannot be guaranteed. The absence of visible Northern Lights does not entitle the customer to a refund or complimentary rebooking.


5. Cancellation or changes by Northwild

Northwild Oy may cancel, postpone, shorten or materially modify an activity when it cannot be operated safely or reasonably. Reasons may include:


  • Unsafe or extreme weather, temperature or wind chill;
  • Insufficient or unsafe snow or ice conditions;
  • Dangerous roads or loss of access to the operating area;
  • Official warnings, restrictions or instructions;
  • Guide illness where no qualified replacement is available;
  • Essential vehicle, equipment or infrastructure failure;
  • Natural events; or
  • Other extraordinary circumstances beyond Northwild Oy’s reasonable control.


As a general safety threshold, activities may be cancelled when the temperature is below −35°C. Northwild Oy may also cancel at a higher temperature where wind chill, participant needs, equipment limitations or other conditions make operation unsafe.


If Northwild Oy cancels an activity before departure for a reason not caused by the customer, the customer may choose either a full refund or rescheduling to an available date. The refund is limited to the amount paid to Northwild Oy for the cancelled activity.


Northwild Oy selects routes and viewing locations according to weather, cloud cover, road conditions, safety considerations and the guide’s professional judgment. Routes may differ from descriptions, photographs or previous tours. Such route changes are a normal part of the activity and do not entitle the customer to a refund.


Advertised start times, durations and return times are approximate. Reasonable changes or delays may occur because of weather, traffic, wildlife, route changes, safety or operational circumstances. Northwild Oy may use an equivalent suitable vehicle or adjust the itinerary without materially reducing the nature or value of the activity.


Customers must allow sufficient time before flights, transport connections, reservations and other time-sensitive commitments. Northwild Oy is not responsible for missed connections or indirect costs resulting from reasonable delays caused by circumstances beyond its control. Nothing in these Terms limits liability that cannot lawfully be excluded, including liability arising from Northwild Oy’s negligence.


Northern Lights are a natural phenomenon. Their appearance, location, intensity, color and visibility cannot be predicted or guaranteed. Northern Lights activities normally operate regardless of the forecast when conditions are safe. The activity is considered to have been fully provided even if the Northern Lights are not visible. The absence of visible Northern Lights does not entitle the customer to a refund, price reduction or complimentary rebooking.


Northwild Oy may, at its discretion and subject to availability, offer a discounted or complimentary second departure. Such an offer is a gesture of goodwill and not a contractual right.


Scheduled departures are guaranteed with a minimum of one paying participant, subject to the cancellation provisions above.


6. Meeting, pickups and lateness

Pickup is included from the designated locations in Ivalo and Saariselkä shown during booking. Customers must select an available pickup location. The confirmed location and pickup time will be stated in the booking confirmation.


Customers must check their booking confirmation and promptly report any incorrect information. Customers are responsible for selecting the correct pickup location, providing accurate contact and accommodation information, and providing a mobile phone number on which they can be reached on the day of the activity.


Customers must be present and ready at the confirmed pickup point at least 10 minutes before the stated pickup time. Northwild Oy may wait for a maximum of 10 minutes after the confirmed time. If the customer is not present and ready within that period, Northwild Oy may depart without them. The booking will be treated as a no-show without refund or complimentary rebooking.


Northwild Oy is not responsible for a missed pickup caused by incorrect or incomplete information provided by the customer, the customer waiting at a location other than the confirmed pickup point, or the customer not being ready on time.


Pickup times are approximate and may be affected by weather, road conditions and earlier pickup stops. A delayed pickup does not mean that the activity has been cancelled. If pickup is more than 15 minutes late and the customer has not received an update, they must remain at the confirmed pickup point and call or message Northwild Oy at +358 41 483 7556 before leaving. If Northwild Oy provides incorrect pickup information or fails to attend the correctly confirmed pickup point, Northwild Oy will provide an appropriate remedy, such as alternative transportation, rescheduling or a refund.


7. Participation requirements

Customers must satisfy the fitness, mobility, age and other participation requirements stated in the relevant activity description. All participants under 18 must be accompanied by a responsible adult throughout the activity. The minimum age for Northern Lights tours is 10 years. Snowmobile activities are restricted to participants aged 18 or over.


Customers must be in a physical and mental condition that allows them to participate safely. A customer should not participate if they have a medical condition, injury or other limitation that could be aggravated by cold temperatures, physical activity, uneven terrain, vehicle movement or prolonged outdoor exposure. Relevant conditions may include:


  • Serious heart or respiratory conditions;
  • Recent surgery or significant injury;
  • Severe back or neck problems;
  • Epilepsy or another condition involving loss of consciousness;
  • Conditions affecting balance, mobility or the ability to follow safety instructions;
  • Severe sensitivity to cold; or
  • Medication that impairs alertness or coordination.


Customers who are uncertain about their ability to participate should consult a qualified medical professional before booking. Customers must inform Northwild Oy before the activity of any medical condition, injury, pregnancy, disability, mobility limitation, medication or other circumstance that may materially affect safe participation or the ability to follow instructions. Customers do not need to provide unnecessary medical details, but Northwild Oy may request sufficient information to assess whether safe and reasonable participation is possible.


Customers must provide their own thermal winter clothing and footwear suitable for the weather and activity. This includes thermal base layers, insulating mid-layers, a windproof and weather-resistant outer layer, warm winter boots, winter gloves or mittens, warm headwear and any other items specified in the activity description or booking confirmation.


Customers may not participate while impaired by alcohol, illegal drugs or medication affecting judgment, alertness, coordination or safe participation.


Northwild Oy and its guides may refuse, restrict or discontinue participation where they reasonably determine that participation would create a material safety risk. This may include situations where a customer:


  • Does not meet an applicable age, height, health, clothing or other participation requirement;
  • Appears impaired by alcohol, illegal drugs or medication;
  • Is not adequately dressed or equipped;
  • Cannot safely use required safety equipment;
  • Refuses or is unable to understand and follow essential safety instructions;
  • Behaves aggressively, abusively, recklessly or disruptively; or
  • Endangers themselves, another person, property or the environment.


The guide’s reasonable safety decisions must be followed. Where safe and operationally possible, Northwild Oy may offer an alternative arrangement. Northwild Oy is not required to provide an alternative where it is unavailable, unsafe or would materially disrupt the activity.


Where participation is refused or discontinued because the customer failed to meet a clearly disclosed requirement, provided inaccurate information, arrived impaired, failed to bring required items, violated safety instructions or behaved dangerously or disruptively, no refund or complimentary rebooking will be provided.


Where participation is refused for a reason the customer could not reasonably have known in advance and did not cause, Northwild Oy will consider an appropriate remedy, which may include an alternative arrangement, rescheduling or a refund.


Arctic activities may involve snow, ice, uneven terrain, low temperatures, outdoor walking and entering or exiting vehicles. Customers requiring accessibility assistance or reasonable adjustments must contact Northwild Oy before booking. Northwild Oy will assess requests individually and make reasonable efforts to accommodate them where this can be done safely and without fundamentally changing the activity. Accessibility is not guaranteed unless confirmed by Northwild Oy in writing.


8. Snowmobile-specific terms

Snowmobile activities are available only to participants aged 18 or over. Both drivers and passengers must be at least 140 cm tall. Northwild Oy does not currently transport participants in a snowmobile sled.

To drive a snowmobile, a participant must:


  • Be at least 18 years old;
  • Be at least 140 cm tall;
  • Hold a valid driving license entitling them to drive the relevant vehicle in Finland; and
  • Carry and present their original physical driving license before the activity.


A valid EU or EEA passenger-car driving license, normally Category B, is accepted. A license issued outside the EU/EEA is accepted only where it is valid for driving in Finland under Finnish law. A driver from a country that is party to the Geneva or Vienna Convention on Road Traffic may also need an International Driving Permit or an official translation into Finnish, Swedish or English. This is generally unnecessary where the national license clearly shows its categories and validity in a format accepted in Finland.


Photographs, photocopies, digital images, expired licenses and learner’s permits are not accepted. Customers are responsible for confirming before booking that their license is valid and recognized in Finland. Customers who are uncertain should consult the Finnish Transport and Communications Agency Traficom or contact Northwild Oy.


Northwild Oy may inspect a driving license and refuse permission to drive where the requirements are not met or the license cannot reasonably be verified. Where space and operating arrangements allow, the participant may be reassigned as a passenger. Failure to present an acceptable license does not entitle the customer to a refund.


Pregnant customers may not participate in snowmobile activities. Customers may not consume alcohol before or during a snowmobile activity, and all drivers must have a zero blood-alcohol level. Northwild Oy may refuse or discontinue participation where it reasonably believes a customer is impaired. No refund will be provided in such circumstances.


Northwild Oy provides an approved helmet, an additional layer of gloves and hand warmers. Customers must use all mandatory safety equipment as instructed. The additional gloves and hand warmers supplement, but do not replace, the customer’s own suitable Arctic clothing.


Customers must immediately inform the guide if a helmet or other provided equipment does not fit correctly or appears damaged. Customers must not remove, modify or misuse mandatory safety equipment during the activity.


Unless a solo-driving supplement has been purchased, advertised prices are based on two participants sharing one snowmobile. Northwild Oy may change drivers, passengers or seating arrangements where reasonably necessary for safety or operational reasons.


Each driver is responsible for operating the snowmobile carefully, following the guide’s instructions and complying with applicable laws and safety rules. The customer is responsible for damage they cause intentionally, negligently, through misuse, or by violating instructions.


For accidental snowmobile damage, the customer’s liability is limited to an insurance excess of EUR 990 per snowmobile per incident, unless the damage was caused intentionally, through gross negligence, while impaired, through unauthorized use or in serious violation of instructions. In those circumstances, the customer may be responsible for the full reasonable cost of the damage. Northwild Oy does not currently offer an option to purchase a reduced excess.


9. Safety and customer conduct

Customers must follow the guide’s instructions and all applicable safety rules throughout the activity. Customers must use mandatory safety equipment correctly and immediately report any equipment that does not fit, appears damaged or causes difficulty.


Guides carry activity-appropriate communication, navigation and emergency equipment in accordance with Northwild Oy’s operating and safety procedures.


Northwild Oy and its guides may restrict, suspend or end a customer’s participation if the customer:


  • Refuses or repeatedly fails to follow instructions;
  • Acts dangerously, recklessly or beyond their demonstrated ability;
  • Behaves aggressively, abusively or disruptively;
  • Misuses vehicles or safety equipment; or
  • Endangers themselves, another person, property or the environment.


A customer whose participation is restricted or ended for these reasons is not entitled to a refund or complimentary rebooking. The customer is also responsible for any reasonable additional costs caused by their conduct.


A customer may leave an activity early where it is safe and reasonably possible to do so. The guide must be informed before the customer leaves. The customer is responsible for arranging and paying for any return transportation or other resulting costs and is not entitled to a refund for the unused part of the activity.


Northwild Oy maintains appropriate business and liability insurance for its operations. This does not replace the customer’s own travel insurance. Customers are strongly advised to obtain personal travel insurance covering the booked activities, medical treatment, emergency assistance, cancellation, personal belongings and other relevant travel risks.


10. Photography and personal belongings

Where stated in the activity description, photographs taken by the guide are included in the activity price at no additional charge. The number, style and quality of photographs may vary according to weather, lighting, group size, safety requirements and operational circumstances.


Photographs will normally be delivered electronically to the booking contact using WeTransfer or another secure file-transfer service. Customers are responsible for downloading and securely saving the photographs before the stated download deadline.

Northwild Oy normally retains customer photographs for up to 90 days after the activity to facilitate delivery and reasonable replacement requests. Photographs may be deleted after that period and cannot be guaranteed to remain recoverable.


Northwild Oy takes reasonable care when capturing, storing and delivering photographs. However, photographs cannot be guaranteed where they are lost, corrupted or unavailable because of equipment failure, technical malfunction, unsafe conditions or circumstances beyond Northwild Oy’s reasonable control. Customer and guide safety always takes priority over photography.


Failure to provide photographs does not normally entitle the customer to a full refund where the activity itself was provided. Northwild Oy may offer an appropriate goodwill remedy depending on the circumstances.


Northwild Oy will not use identifiable photographs of customers for marketing without separate, optional consent. Refusing consent does not affect the booking or activity. Consent may be withdrawn by contacting info@northwild.eu. Each adult must consent for themselves, and consent for a child must be provided by their parent or legal guardian. Further information is provided in Northwild Oy’s Privacy Policy.


Customers are responsible for their personal belongings throughout the activity. Northwild Oy is not responsible for loss, theft or damage resulting from the customer’s actions, inadequate protection, ordinary outdoor risks, cold temperatures, snow, ice, moisture or circumstances beyond Northwild Oy’s reasonable control.


Cold temperatures may rapidly reduce battery life, shut down electronic devices and cause condensation or permanent damage. Customers bring and use phones, cameras, batteries and other electronic equipment at their own risk. Customers should:


  • Keep devices and spare batteries in a warm inner pocket when not in use;
  • Bring fully charged spare batteries or a suitable power bank;
  • Use a protective case and wrist strap;
  • Protect equipment from snow and moisture;
  • Avoid breathing directly onto lenses or screens;
  • Place cold equipment in a sealed bag before returning indoors so that it warms gradually; and
  • Follow the manufacturer’s operating-temperature guidance.


Northwild Oy is not responsible for cold-related battery depletion, condensation, moisture damage or equipment malfunction unless directly caused by Northwild Oy’s negligence. Nothing in these terms excludes or limits liability that cannot lawfully be excluded.


11. Prices, special requests and disputes

The price confirmed at the time of booking will not change after the booking has been confirmed. Children’s prices may be available where shown in the relevant activity description or booking process. Customers must check their booking confirmation and promptly notify Northwild Oy of any incorrect details.


Dietary requirements, accessibility needs and other special requests must be submitted by email to info@northwild.eu or by WhatsApp to +358 41 483 7556 as early as possible. Northwild Oy will make reasonable efforts to accommodate requests, but they are not guaranteed unless confirmed in writing.


Customers should immediately inform the guide of any problem arising during an activity so that Northwild Oy has a reasonable opportunity to address it. Complaints should be submitted in writing to info@northwild.eu as soon as possible and preferably within 14 days after the activity. This period does not limit any statutory consumer rights.


These Terms and bookings made with Northwild Oy are governed by Finnish law. This does not deprive consumers of any mandatory protections provided by the law of their country of residence.


The parties will first attempt to resolve disputes through direct negotiation. If a dispute cannot be resolved, the consumer may contact the Finnish Consumer Advisory Services for guidance and mediation: www.kkv.fi/en/consumer-affairs/consumer-advisory-services. The consumer may then submit the matter to the Finnish Consumer Disputes Board: www.kuluttajariita.fi/en. Before contacting the Consumer Disputes Board, the consumer should contact the Consumer Advisory Services.


Any court proceedings will be handled by a court having jurisdiction under applicable law. Nothing in these Terms limits a consumer’s statutory right to bring proceedings in a court available to them under mandatory consumer-protection rules.
